Dispatch Officer

Job Title: Dispatch Officer Company: Vital laboratories SAP Module: SAP SD Roles & Responsibilities: Key Roles & Responsibilities * Dispatch Planning & Execution: Coordinate day-to-day outward dispatch schedules based on sales orders. Ensure materials are dispatched using FIFO (First In, First Out) and FEFO (First Expired, First Out) protocols to maintain accurate batch control. * Regulatory Compliance: Execute all warehouse and dispatch activities strictly adhering to Good Manufacturing Practices (cGMP) and Good Distribution Practices (GDP). Ensure proper line clearance is obtained from Quality Assurance (QA) before dispatching any batch. * Documentation Management: Generate error-free dispatch documents including Commercial Invoices, Packing Lists, Delivery Challans, Certificates of Analysis (CoA), and E-Way Bills. * ERP Maintenance: Perform real-time data entry of all outward material movements in the ERP system (SAP/Oracle) to maintain flawless inventory records. * Packaging & Quality Checks: Inspect outer packaging, batch labeling, tamper-evident seals, and container cleanliness before loading. Ensure cold-chain or temperature-sensitive APIs are dispatched in validated thermal packaging. * Logistics & Vendor Coordination: Liaise with approved transporters for timely vehicle placement. Monitor transit status, track shipments, and resolve any delays or transit issues promptly. * Audit Readiness: Maintain neatly organized logs, vehicle inspection reports, and dispatch registers to ensure the department is always ready for internal, customer, and regulatory audits (FDA, WHO, etc.). Required Qualifications & Skills * Education: Bachelor’s Degree in Science (B.Sc. Chemistry / B.Pharm) or Commerce / Business Administration (B.Com / BBA) with a diploma or certification in Supply Chain/Logistics. * Experience: 1-2 years of experience in the warehouse/dispatch department of a pharmaceutical company (preferably API manufacturing). * Technical Knowledge: * Hands-on experience working with ERP systems (specifically SAP SD/MM modules). * Sound understanding of pharmaceutical packaging regulations, safety protocols, and export/domestic documentation. * Core Competencies: Excellent attention to detail, strong multi-tasking skills, effective communication for dealing with drivers and cross-functional teams, and the ability to work under tight delivery deadlines.
